Hy-Tech is adding an Administrative Assistant to our growing team in Smithers, BC. The Administrative Assistant is responsible for providing reception and administrative support that ensures smooth day-to-day operation and contributes to the achievement of company goals and objectives. The Administrative Assistant carries out responsibilities in some or all of the functional areas: reception, building supply management, advertising, event, meeting & tradeshow planning, and support for other departments as required.

DUTIES AND RESPONSIBILITIES

  • Greets visitors, directs inquiries, provides information and sets up appointments. Maintains visitor log and ensures new visitors remaining on site are given an orientation.
  • Professionally answers and directs telephone calls.
  • Assists with organizing and facilitating community events, staff events, and employee engagement affairs.
  • Assists with maintaining the Incentives & Rewards program.
  • Assists with Mining Show and Tradeshow facilitation, booth and participant registration, special events, advertising, travel logistics and booth set-up.
  • Assists with updating the corporate website, reviewing, editing and adding content regularly.
  • Assists with the purchase, organization and distribution of client, supplier, and staff gifts.
  • Assists with the distribution of corporate sponsorships and donations.
  • Assists with the development of advertising material including but not limited to corporate newsletter, business cards, magazine ads, radio, newspaper ads, and email blasts.
  • Ensures the office lobby and public areas are always kept neat and tidy, and that all required posted documents are current and posted in designated areas.
  • Assists with building/yard management and purchasing office/shop supplies.
  • Understands and helps to develop and maintain Hy-Tech systems, and supports other departments when requested.
  • Other duties as assigned.

THE SETTING

This position is based out of global headquarters in Smithers, BC.

THE SCHEDULE

· Standard working hours are Monday to Friday, corresponding with hours of work required in the branch location.

· There will also be some requirement to be available after hours and on weekend during busy times.

WHAT YOU NEED

  • 1+ years in a fast paced and busy office environment, handling reception and using Microsoft Office products.
  • Knowledge of general office procedures.
  • Intermediate computer skills and proficiency in the use of Microsoft Suite.
  • Strong organizational skills with attention to detail.

Ability to:

  • Balance multiple priorities and meet deadlines.
  • Communicate clearly and concisely, both orally and in writing.
  • Build rapport and credibility with clients, suppliers, employees, foremen and management.
  • Work independently and as part of a team.
  • Handle sensitive and confidential information appropriately.
  • Must have a valid Driver’s License and must provide a current Driver’s Abstract on an annual basis.
